    Build a quote from catalog or custom line items, set tax and a payment policy, then propose job dates. Customers can review the itemized quote, accept it, reject it, or request changes from the connected app.

    Can I add custom line items?
    Yes. Add items from the service catalog or create custom line items with a description and price in the same quote.
    What payment policies are available?
    Three options: Deposit Required (collect a percentage upfront, remainder after completion), Full Upfront (100% payment before work begins), or Pay After Completion (no payment until the job is done). Each service template can have a default, which you can override per quote.
    What happens when I send a quote?
    The customer can receive a new-quote notification and review the full quote in the app. They can accept it and continue to payment when required, reject it, or request changes. A change request returns the quote to the business for revision.

    You can switch between month, week, and day views. Each view shows scheduled jobs with their dates and current status.
    What do the different colors mean?
    Scheduled jobs use blue; in-progress jobs, light blue; paused or awaiting-payment jobs, amber; completed jobs, green; blocked or cancelled jobs, red; and pending jobs, gray.

    The FieldWorks Messages extension presents the business, service details, schedule, and total inside a quote card. Customers can review the quote from the conversation. When a ready organization requires payment, the handoff uses that provider's Square-hosted checkout and FieldWorks waits for verified reconciliation before changing payment state.

    Each organization opts in by authorizing its own Square seller account and selecting an eligible active location. FieldWorks keeps quote sending and checkout blocked until that organization passes readiness checks, then hands the customer to Square-hosted checkout and marks payment complete only after Square confirms it.

    How do I connect my Square account?
    A super admin connects Square in organization settings, authorizes that organization's own seller account, and chooses an active payment location. Quote sending remains blocked until FieldWorks verifies the location is ready. No separate FieldWorks approval is required.
    How do deposit payments work?
    When a quote with a deposit policy is accepted, the customer is prompted to pay the deposit. The job is created only after FieldWorks verifies the payment. The remaining balance becomes due when the work is complete.
    Can I issue refunds?
    A super admin can request full or partial refunds from payment details. The refund goes through the original processor, and timing depends on that processor and the customer's financial institution.
  18. Workforce scheduling and Smart Assignment

    Set worker hours and time off, compare assignment recommendations, and make the final assignment with conflicts kept visible.

    Business admins can manage recurring worker hours and unavailable periods, review schedule and workload context, and assign deliberately. Smart Assignment explains recommendations and required overrides; it never dispatches or reassigns work automatically. Worker self-management depends on organization settings and a supported FieldWorks release.
